Summary

The Deputy Auditor I is an entry level position that focuses on recording and elections. This position does document recording, including deeds of trust, community property agreements, land surveys, indexing documents, verification of indexed data, searching records, and opening and closing procedures; and elections, including assisting with data entry of voter registration, assisting with redistricting, and processing incoming ballots.

Essential Duties

The following list of functions, duties, and tasks is typical for this classification. Incumbents may not perform all of the listed duties and/or may be required to perform other closely related or department-specific functions, duties, and tasks from those set forth below to address business needs and changing business practices.

  • Provide general clerical support including data entry, filing, copying, scanning, and basic record keeping. 
  • Use office software and systems to input and update data with accuracy and attention to detail. 
  • Interact professionally with the public, staff, and external partners; direct inquiries to appropriate personnel. 
  • Maintain confidentiality of sensitive documents and information.
  • Receive, sort, and process incoming mail. 
  • Prepare and balance daily deposit of fees collected. 
  • Assist with opening and closing procedures for front counters and daily operations. 
  • Provide basic customer service in person and by phone.
  • Accept and record real estate and legal documents including deeds of trust, community property agreements, and land surveys into official records. 
  • Index documents and verify accuracy of indexed data to support search and retrieval. 
  • Conduct record searches to retrieve public documents and information. 
  • Perform document verification and quality checks for completeness and compliance with recording standards. 
  • Respond to basic public records requests and assist visitors with locating recorded information.
  • Assist with data entry of voter registration forms and maintain accurate voter registration records. 
  • Process incoming ballots and issue replacement ballots during election periods. 
  • Respond to frequently asked questions from constituents about voter registration and election procedures. 

Provide support with tasks related to redistricting and other election projects as assigned.

OTHER DUTIES:

  • Performs other duties of a similar nature and level as assigned.

  • General office practices and procedures
  • Proper phone etiquette and customer service techniques

  • The use of standard office equipment, i.e., computers, printers, calculators, etc.

  • Maintenance equipment and procedures

Qualifications

EDUCATION AND EXPERIENCE:

High school diploma or GED and two (2) years of customer service 


Preferred: 
 Bilingual


LICENSE(S) / CERTIFICATIONS:

  • Valid Driver’s License

  • This position is primarily performed in an office environment 
  • Physical requirements include sitting, standing, walking, reaching, pushing, pulling, a sense of touch, finger dexterity, ability to grip with hands and fingers, ability to speak and the ability to read
  • Exerting 20 to 50 pounds of force occasionally, and/or 10 to 25 pounds of force frequently, and/or greater than negligible up to 10 pounds of force constantly to move objects. Physical demand requirements are in excess of those for Light Work
