The Ada County Clerk’s Office serves the community through five divisions: Court Clerks, Recorders, Auditors, Elections, and Community Programs. POSITION GENERAL SUMMARY:

The Receptionist is the first point of contact with customers and visitors to the Ada County Elections office. The position performs various office support functions, greets visitors to the office, answers telephones, transfers calls, answers routine questions, and provides information of a general nature.   Additionally, the Receptionist may assist with clerical duties such as filing, typing, data entry, assisting staff members, and performing other special projects as requested.  This position is located in the Elections Division of the Clerk/Auditor/Recorder’s Office. 


DISTINGUISHING FEATURES OF THE CLASS:
The incumbent works under general supervision to carry out work assignments in accordance with instructions, policies, procedures, and Idaho Code.

Essential Functions

  • Provides front-facing, first-line support to staff and customers;
  • Greets visitors to the office in-person;
  • Answers multiple phone lines and redirects to appropriate persons;
  • Responds to routine questions and refers non-routine questions to appropriate persons;
  • Performs clerical functions related to the administration of petitions, including receiving, scanning, prepping, and notarizing;
  • Performs clerical functions related to processing public records requests;
  • Provides support related to elections volunteers and/or phone bank operations;
  • Screens calls;
  • Sorts, distributes and responds to email inbox and regular mail;
  • Performs data entry;
  • Sorts and files documents;
  • Maintains phone lists;
  • Maintains and organizes the Elections lobby.

ADDITIONAL FUNCTIONS: 
  • Monitors and escorts visitors per security requirements;
  • Performs related duties as required.

Job Requirements

  • High School diploma or equivalent; 
  • Minimum of two (2) years related experience;
  • Maintenance of Idaho Notary Public Commission, including the ability to be commissioned within six months of hire, is required;
  • Knowledge of office routines and procedures;
  • Knowledge of Microsoft Word, Excel, and Outlook;
  • Knowledge of modern databases with a focus on data entry; 
  • Skill in the operation of a personal computer;
  • Skill in the operation of multiple phone lines;
  • Ability to understand and follow written and verbal directions;
  • Ability to communicate effectively verbally and in writing;
  • Ability to deal with the public in a tactful and courteous manner;
  • Ability to maintain effective working relationships and to collaborate on team projects.

OTHER REQUIREMENTS:
  • Must possess and maintain a valid driver’s license;
  • Must be able to successfully pass a criminal background investigation;
  • Incumbents may be required to provide their own transportation for travel between various county offices and departments;
  • Working hours are generally from 8:00 a.m. to 5:00 p.m., Monday through Friday, but may vary with the needs of the County. During elections time (generally two times a year) will include some evening and/or weekend work, including overtime. In the event of serious systems problems, additional hours may be required.

Work Environment & Physical Demands

  • Work is performed onsite at the Ada County Elections Office and on-location at voting sites as needed;
  • Work is performed primarily in an office environment and the employee in this class is subject to inside environmental conditions;
  • Local travel between various county offices and county voting sites;
  • The incumbent will be required to lift up to 40 lbs.;
  • Occasionally requires working in confined spaces and hard to reach areas;
  • Requires sufficient personal mobility and physical reflexes, which permits the employee to function in a general office environment to accomplish tasks.
