Overview

Under direct supervision performs a variety of general clerical/office support functions to facilitate and streamline administrative processes in the Election Board. Answers telephones; greets visitors; receives, processes, and distributes mail/documents; prepares and processes scheduling and implementation of the Marion County Election system. Performs general data processing/typing activities; and provides direct administrative support to the Election Board Director and his/her staff. This position may not exceed the employment term of twelve (12) weeks per hiring period.

Agency Summary

The Election Board oversees federal, state, county, city, and school district elections in Marion County. The board’s administrative duties include accepting campaign finance and candidate filing forms, handling election ballots, maintaining voting machines, training election officials, and counting and certifying votes.

Position Responsibilities

  • Greets visitors and answers telephone calls; reviews voicemail; provides and receives standard/detailed information concerning the work unit; transfers telephone calls and/or takes messages; and provides visitors with directions to appropriate staff member/department.
  • Accepts and file-marks candidate and campaign finance documents, distributes the filed document to the appropriate staff member/department.
  • Accepts absentee voting documents, distributes the documents to the appropriate staff member/department.
  • Maintains and updates public records, including, but not limited to oaths of office and printed election results.
  • Gains a working knowledge and use of the State-wide Voter Registration System (SVRS).
  • Replenishes stock and distributes election forms upon request.
  • Monitors certain office supply stock, including, but not limited to: cab time sheets, campaign finance fine receipts, cashier payment slips and copy paper.
  • Gains a working knowledge of the function of election forms.
  • Sorts mail in a timely and accurate manner, noting time-sensitive deliveries; accepts and tracks deliveries.
  • Prepares and implements processes for the elections in Marion County.
  • Monitors and maintains facsimile documents.
  • Operates a variety of general office equipment including a computer terminal/data processor (to enter and/or retrieve data); a typewriter; a copier, telephone, Dymo LabelWriter and a fax machine.
  • Processes in-person voters.
  • Mails absentee applications and correspondence.
  • Processes absentee ballot applications and ballots.
  • Prepares voted absentee ballots for Election Day.
  • Assists with implementation and operation of satellite voting sites.
  • Assists with the recruitment and organization of poll workers.

    Performs other related duties of a comparable level/type as required.

  • Qualifications

    Must be a registered voter and reside in Marion County.
    Bachelor's degree preferred. Three (3) years of work relevant experience or college-level study required.
    Three (3) references required.
    Must be customer service oriented and have strong organization and communication skills.
    Proficiency in Microsoft Office Products required.
    Should demonstrate an interest in the electoral process within Marion County.

    Independent Judgment

    Position requires knowledge of established policies and procedures. Very little independent judgment needed or required.
