JOB SUMMARY

Reporting directly to the Voter Registration Supervisor, responsible for administrative duties related to voter registration, Ballot-By-Mail, and the election process.

EXAMPLES OF WORK PERFORMED

  • Accepts, reviews, and processes applications for voter registration and Ballot-By-Mail
  • Processes incomplete or rejected voter registration and Ballot-by-Mail applications
  • Processes mailing notices to voters regarding incomplete or rejected Ballot-by-Mail applications/carrier envelopes
  • Answers Federal Post Card Application (FPCA) and Ballot-By-Mail program questions and informs voters of their options
  • Assists the Voter Registration Supervisor with Provisional Ballot research
  • Prepares and sends post elections letters to provisional and Ballot-By-Mail voters to inform them if their ballots were accepted or rejected by the Ballot Board
  • Communicates frequently via telephone, e-mail, and in person with poll workers and the general public
  • Monitors multiple departmental email accounts
  • Serves as a contact for the election Judge’s hotline and assists with complex issues from election judges and staff
  • Cross-trains with office staff in other areas to ensure continuity of departmental operations
  • Attends all meetings and trainings, as required
  • Performs special duties as assigned

PHYSICAL DEMANDS

  • Position involves prolonged sitting at a workstation, visual examination of documents, reaching, walking, twisting, bending, standing, and occasional lifting/carrying


ENVIRONMENTAL FACTORS

  • Work is primarily indoors in an air-conditioned environment


IRREGULAR HOURS

  • Work outside of the normal office hours (Monday-Friday 8 a.m. to 5 p.m.) may be required
  • May be deemed essential personnel in the event of an emergency

MINIMUM QUALIFICATIONS

  • High school diploma or equivalent and three (3) years of related experience; OR an equivalent combination of education and experience
  • Working knowledge of Microsoft Office Suite


LICENSES AND CERTIFICATIONS

Required within thirty (30) days of employment

  • Valid driver’s license


PREFERRED QUALIFICATIONS 

  • Bachelor’s degree in Government, Public Administration, Business Administration, Communications, or a related field
  • Prior experience working in Elections and/or public-sector environment
  • Registered Election Official (REO) certification within one (1) year of employment
  • Certified Elections/Registration Administrator (CERA) within five (5) years of employment
